Time management is thus crucial for entrepreneurs so you can make the most out of your day.

Here are some time management strategies and tips for business leaders like you.

1. Audit Your Time

First, conduct a time audit. Track exactly what you spend your time on throughout the day. This way, you’ll know what you spend your time on and how much time exactly.

You can use a time tracker or simply jot down in a note. The key is listing down the various tasks you worked on and the time spent on each task.

2. Prioritize Your Tasks

Now, look at the tasks and prioritize them.

  • What are the important tasks?
  • What tasks require you to personally complete?

You can consider using the Priority Matrix to figure out these important tasks.

This will give you a better idea of important tasks that you need to focus on. As a result, you need to ensure that you allocate sufficient time to work on these tasks every day.

3. Set Time Limits & Start Timeboxing

As the name suggests, timeboxing is where you allocate time to a task. The key is setting an allotted time to work on the task. Rather than working on the task until it’s done, you proactively decide how much time you’ll spend on it. Simply put, you’re setting a fixed amount of time in your calendar for this particular task (similar to how you schedule a meeting in your calendar).

4. Create A Schedule & Establish Routines

Get organized and plan out each day. If you already know what you’re going to work on each day, consider creating a schedule and establishing routines. This way, you’re using time effectively by working on important tasks first.

5. Automate Repetitive Tasks

Are there menial tasks that you do frequently?

If so, consider automating them so you can focus your time on other tasks.

For example, instead of pulling data every day to analyze performance, you can connect data sources like Google Analytics, Google Ads, Google Sheets and more to Google Looker Studio for customizable reports.

6. Delegate Your Tasks

Rather than taking up so many tasks, you can delegate your tasks to someone who has skills or expertise in that area. This could be your employee or a freelancer that you hired. Either way, you hired them because they’re experts in the field. Thus, you should of course delegate tasks to them who might even do a better job than you.

7. Take Breaks

If you work continuously every day, I feel that it’s not mentally good for you. You’re not a cog in a wheel or even a robot, you’re human. Which means that it’s okay to take breaks to rest and recharge. Let your tired brain rest from time to time so it doesn’t suffer from cognitive overload or cognitive fatigue. Also, if you work for too long, it may be hard to maintain concentration.

8. Avoid Distractions, Multitasking & Procrastination

Now that you know some of the do’s. Let’s talk about the don’ts.

Avoid distractions that divert your attention away from tasks that matter.

Multitasking, too, divides your attention between many tasks and thus, you may not be able to complete any task.

When you’re postponing a task, you’re procrastinating. No matter how much you delay a task, you’ll still need to complete it in the end. Also, procrastination may lead to a buildup of to-do tasks. So why not finish a task as soon as possible so you can take a short break without worries?

9. Learn To Say “No”

My final tip is to learn to say “no.”

Just like in life, you shouldn’t be saying “yes” to everything and everyone. You need to say “no” to tasks that will cut into your time. If you have your tasks planned out for the day and this new task is not urgent, you could shift it to tomorrow instead.

The key is maintaining your boundaries. Be aware of your boundaries and don’t let anyone or anything overstep these boundaries. For example, if you only have 8 work hours on a weekday and you have scheduled tasks for 6 hours, don’t accept tasks that exceed 2 hours. If not, let your teammates or clients know that you won’t be able to finish it today and you’ll continue working on it tomorrow.

I understand that saying “no” may be hard. But you need to guard this boundary.
